Terms of Service

1. Agreement to Terms

These Terms of Service ("Terms") constitute a legally binding agreement between you ("User", "you", or "your") and DigiTrans Consultants W.L.L ("Company", "we", "us", or "our"), the operator of CORAIBOX (the "Service"). By creating an account, accessing, or using the Service in any manner, you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy, which is incorporated herein by reference.

If you are accepting these Terms on behalf of a company or other legal entity, you represent and warrant that you have the authority to bind that entity to these Terms. If you do not agree to these Terms, you must not access or use the Service. You must be at least 16 years of age to use the Service.

2. Description of Service

CORAIBOX is a Software-as-a-Service (SaaS) application that connects to your email accounts via the Internet Message Access Protocol (IMAP), uses artificial intelligence and large language models (LLMs) to classify, triage, and manage your unread emails, extracts actionable tasks, generates daily briefings, and optionally delivers notifications via third-party messaging platforms such as Slack and Discord. The Service also includes a Training Mode that allows you to correct AI triage decisions and provide written notes to refine your personal triage prompt, as well as configurable auto-triage scheduling (from manual-only to real-time IMAP IDLE monitoring, depending on your subscription tier).

The Service operates on a subscription basis with four tiers: Basic, Plus, Pro, and Premium. A 7-day Premium free trial is automatically granted to all new accounts upon registration.

3. Account Registration and Security

Registration. To access the Service, you must create an account by providing a valid email address and password, or by authenticating via Google OAuth. You agree to provide accurate, current, and complete information during registration and to update such information as necessary.

Account Security. You are solely responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. Notify us immediately at [email protected] if you suspect any unauthorized use of your account.

One Account Per User. Each user may maintain only one active account. Creating multiple accounts to circumvent subscription limits or free trial restrictions is prohibited and may result in immediate account termination.

4. Email Account Access and IMAP Integration

Authorization. By connecting an email account to CORAIBOX, you explicitly authorize the Service to access that email account via IMAP using the credentials you provide. This access is used solely to read unread email messages, classify them using AI, move or archive messages as directed by you, and restore messages to your inbox upon your request.

Scope of Access. The Service accesses only unread emails (those bearing the \Unseen IMAP flag) unless you explicitly instruct otherwise. The Service does not send emails on your behalf, delete emails permanently without your confirmation, or access emails in folders other than those required to deliver the Service.

Email Content and AI Processing. Email content — including subject lines, sender and recipient information, message body, and metadata — is transmitted to our AI processing infrastructure and to third-party large language model providers for the purpose of classification, task extraction, and briefing generation. This processing is performed solely to deliver the features you have requested. We do not use your email content to train AI models, and our AI providers operate under zero-data-retention policies for customer data submitted via their APIs. When you use Training Mode to correct an AI decision, the training note you provide and the associated email metadata are stored in your account and used solely to update your personal triage prompt. Training notes are not shared with third parties.

No Spam Filter or Virus Scanner. CORAIBOX is an AI triage and productivity tool, not a spam filter or antivirus scanner. The Service does not guarantee the detection of malicious, fraudulent, or phishing emails. You remain solely responsible for exercising caution when interacting with any email message.

5. Subscription Plans, Billing, and Trials

Free Trial. All new accounts receive a 7-day Premium free trial automatically upon registration. No payment information is required to start the trial. At the end of the trial period, your account will automatically revert to the Basic plan unless you have subscribed to a paid plan.

Billing. By subscribing to a paid plan, you authorize us to charge the applicable subscription fee to your designated payment method on a recurring basis. All fees are non-refundable except as required by applicable law. You may upgrade, downgrade, or cancel your subscription at any time through the Billing section of your account settings.

Taxes. DigiTrans Consultants W.L.L is registered for VAT in the Kingdom of Bahrain under VAT ID 220021946700002. Applicable taxes will be added to the amount charged where required.

6. Acceptable Use

You agree to use the Service only for lawful purposes and in accordance with these Terms. You agree not to: use the Service to process email accounts you do not own or have explicit authorization to access; attempt to probe, scan, or test the vulnerability of the Service; reverse engineer or decompile the Service; circumvent any subscription tier restrictions; use automated scripts or bots to access the Service in a manner that exceeds normal usage patterns; or violate any applicable local, national, or international law or regulation.

7. Intellectual Property

The Service, including all software, algorithms, user interfaces, logos, and trademarks, is owned by DigiTrans Consultants W.L.L and is protected by intellectual property laws. You retain all ownership rights in the email content and data that you process through the Service. By using the Service, you grant us a limited, non-exclusive, royalty-free license to access and process your content solely for the purpose of providing the Service to you.

8. Third-Party Services and Integrations

The Service integrates with third-party services including Google (OAuth), Slack, Discord, and AI model providers. Your use of these integrations is subject to the respective terms and privacy policies of those third parties. We are not responsible for the practices, availability, or content of any third-party services.

9. Data Retention and Account Deletion

You may delete your account at any time through the Settings section of the Service. Upon account deletion, we will delete your personal data, email account credentials, triage history, tasks, and associated records within 30 days, except where retention is required by applicable law. Billing records may be retained for a period required by Bahraini tax and financial regulations.

10. Disclaimer of Warranties

The Service is provided "as is" and "as available" without warranties of any kind, either express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or free of viruses or other harmful components. AI triage results are probabilistic and may misclassify emails. You remain solely responsible for reviewing your email and for any actions taken based on the Service's output.

11. Limitation of Liability

To the fullest extent permitted by applicable law, DigiTrans Consultants W.L.L shall not be liable for any indirect, incidental, special, consequential, or punitive damages. Our total cumulative liability to you for all claims shall not exceed the greater of (a) the total amount you paid to us in the twelve months preceding the claim, or (b) USD $100.

12. Indemnification

You agree to indemnify, defend, and hold harmless DigiTrans Consultants W.L.L and its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, costs, and expenses arising out of or in connection with your use of the Service, your violation of these Terms, or your violation of any applicable law or the rights of any third party.

13. Termination

You may terminate your account at any time through the Settings section. We may suspend or terminate your access immediately if you breach these Terms, or for any reason by providing 30 days' written notice to your registered email address. Upon termination, your right to use the Service ceases immediately and data deletion proceeds as described in Section 9.

14. Modifications to the Service and Terms

We reserve the right to modify, suspend, or discontinue the Service at any time. We will provide at least 30 days' notice of any material changes to these Terms by posting the updated Terms on the Service and notifying you at your registered email address. Your continued use of the Service after the effective date of any changes constitutes your acceptance of the revised Terms.

15. Governing Law and Dispute Resolution

These Terms shall be governed by and construed in accordance with the laws of the Kingdom of Bahrain. Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of the Kingdom of Bahrain, located in Manama. Before initiating any formal legal proceedings, you agree to first contact us at [email protected] to attempt to resolve the dispute informally.

16. General Provisions

These Terms, together with the Privacy Policy, constitute the entire agreement between you and us regarding the Service. If any provision of these Terms is found to be unenforceable, the remaining provisions shall continue in full force and effect. Our failure to enforce any right or provision shall not constitute a waiver of such right or provision.
